1.0 PURPOSE:
To describe the policies and processes associated with catering at RCHSD


2.0 SCOPE:
All RCHHC programs that receive catering through the RCHSD Food Services department


3.0 POLICY:

1. Food and beverage catering is prioritized for the following meetings::
a) Board Meetings
b) Executive Team
c) Medical Staff Meetings
d) Residency Training Program event
e) Organizationally sponsored events

2. Departmental meetings or events in which the Director has budgeted for the expenses will have all catering requests entered into Cater Trax.
a) Designated individuals will be trained to order catering within their identified scope.
b) Directors will approve any catering greater than $100
c) Reoccurring meetings will be approved the first time
d) All caterings will be charged to the departmental cost center or  paid  by credit card
e) All catering request that are not on the standard catering menu should be requested at least 7 days in advance with special requests within 14 days of the event. Exceptions must be reviewed with the Catering Team for approval.

3. Cancellations are request to be made as far in advance as possible. Late cancellations will be charged if the food for the event has been purchased and unable to be utilized
4. Special events requesting a special menu, special hours, linens, server or staffing that are outside routine will require a meeting with the Catering Team to develop an appropriate plan.

5. Any catering or food delivery that is booked outside RCHSD Food Services requires the ordering department to clean up and dispose of the trash and to clean the room used for the event.

6. Missing Equipment:  Replacement cost for missing equipment will be added to catering charges.  (i.e. any baskets, trays, utensils, linens, etc… taken from catering events and not returned will be charged to the cost center or group sponsoring the event)
